Meeting Rooms

Meeting spaces are the focus of many of today’s workplace transformations. Businesses are changing how people work with one another, and empowering them to achieve outcomes differently. AV Solutions including wireless sharing, automation and managed services have helped transform meeting spaces into areas where staff want to be and enable them to come together and solve problems.

With all the changes in the work environment — mobility, huddle spaces, open collaboration areas — the meeting room remains a vital asset to your organisation. Modern meeting rooms are more than just spaces that staff gather to plan and discuss work. It’s where they get work done, the space where those remote and onsite, customers and colleagues, can come together and make progress.

Workplace Trends

  • Proximity location software lets users know through their smart devices if a room is in use or booked as they approach it
  • Sensors that detect when a room is vacant and no longer in use, so that systems can return to idle mode
  • Meetings rooms are becoming areas where work gets done, not just talked about
  • Customised room control for different user types and access levels
  • Automation technology that readies room for collaboration in less than a minute
  • Move toward wireless AV solutions, including Barco ClickShare, AMX Enzo, and Crestron AirMedia™

Why Work With InSight Systems?

As a group, InSight Systems, our Connected Vision partners and our Global Partner AVI-SPL have integrated more meeting spaces than any other solutions provider. We like to think that says two things about us:

1.) More experience than any other integrator out there.
2.) That more companies, contractors, and consultants are placing their trust in us than in anyone else.

InSight Systems engineers, integrators, and managers take ownership of our portion of the project, and actively coordinate with other trades to ensure the integration is completed on time and to your satisfaction. Work with InSight Systems and you’re working with a team whose global presence enables us to standardize solutions across your enterprise. When you know how to use one meeting room, you know how to use them all. You also get a team dedicated to giving you meeting spaces that are customised to your company’s identity and the way you work. From the company-branded control panels and screensavers to the alerts that let room guests know that another meeting is about to begin, we apply our diligence to the details that make all the difference.

Huddle Spaces

Work isn’t confined to the office anymore. It’s a fluid process that allows you and your colleagues to be mobile throughout the day. Because what matters is getting the work done. The workspace is reflecting this change – even as some spaces are getting smaller, but they’re also opening up in terms of their layout. Companies realise the value of dedicated huddle spaces where small groups can come together as needed to collaborate, even if just for a few minutes.

Workplace Trends

  • By 2018, the amount of real estate per employee is expected to be less than half what it was in 2010
  • Cost is a factor in this trend, as is the desire to see coworkers have the opportunity to work closely together as needed
  • Alongside the traditional meeting space, which has great value for bringing together groups of 10-20 around a conference table, the huddle space is now taking its place as a necessary environment in many enterprises and SMBs

What We Provide

  • Video collaboration systems such as virtual meeting rooms, bringing in-room and remote collaborators face to face.
  • Interactive touch screen displays
  • Audio Visual solutions and technology that turns spaces into collaboration hubs

Why Work With InSight Systems?

We are an advocate of workplace transformation – the kind of transformation that is seeing office layouts evolve from isolated cubicles to open spaces, huddle rooms, and similar areas that inspire collaboration among coworkers, and that turn meetings into sessions where real work gets done. Along with our Connected Vision partners and Global partner AVI-SPL, we have designed and deployed more meeting spaces than any other integrator. In each case, from services to innovations to partnership, we have put our commitment to workplace transformation and huddle spaces in practice.

Video Conferencing and Collaboration

Video conferencing has been a critical component of business communication for many years. But today, with more integration possibilities, video conferencing has evolved into a more collaborative experience. With more powerful technology, communication can be about more than just being face-to-face. It can include content sharing, white-boarding, and annotation – and other tools that make it possible to have an actual “working meeting.” Video collaboration systems bring people together in new ways, expanding on the capabilities of traditional video conferencing.

InSight Systems video collaboration solutions include the ability to see and edit the same documents in real time — documents that can be shared wirelessly from personal devices, annotated, and saved. The fluid desktop experience of Skype for Business works in group collaboration settings. Your video collaboration solution can be sourced from an on-premise system, a cloud subscription service, or a hybrid of the two.

Complementing these enhanced video collaboration systems are open collaboration workspaces and huddle rooms that make it easy to quickly gather in small groups, connect with others outside the office or organization, and exchange ideas.

Workplace Trends

  • As employees bring two or more personal devices (like smartphone and tablets) to work they require the video collaboration solutions that will enable them to be productive from onsite and offsite locations.
  • It’s expected that by 2018, the amount of space allotted per employee will be just half what it was in 2010. This reduction is due to the rising cost of commercial real estate and a focus on open collaboration spaces that promote efficiency and invite coworkers and clients to come together for spur-of-the-moment meetings that include video collaboration tools.
  • Sustainable building practices focus on the well-being of employees.

Our teams of certified technicians and engineers bring together interactive displays, presentation systems, and control systems into a welcoming environment. One of the biggest trends we’ve seen has been the move to cloud-based video conferencing, which we provide through our managed conferencing services and the self-service suite of Virtual Meeting Room options.

Virtual Meeting Rooms

InSight Systems Virtual Meeting Room (VMR) collaboration services consolidate real-time conferencing tools – voice, video, content, and web – into a single solution, allowing users to connect anytime, anywhere using any device. We provide a suite of vendor-agnostic VMR solutions designed to fit each client’s unique use and system infrastructure needs.

Workplace Trends

  • The mobile workforce requires technology that keeps them feeling just as essential to the team as those in a company office
  • Demands for self-service collaboration tools
  • Desktop clients that provide voice, video, text messaging, and desktop sharing from one solution
  • The desire for a simplified user experience with video collaboration

What We Provide

By partnering with the leading providers of self-service video collaboration solutions, InSight Systems delivers the features, deployment options and pricing models that best fit your operational, IT, and financial needs. Our offerings allows you to choose the solution that works best for you. Select from one of four deployment models:

  • As-a-Service Cloud Model: A multi-tenant conferencing environment hosted, managed, and supported directly by InSight Systems. You buy access to these resources, designed to be used in a conferencing-as-a-service model. All resources – hardware, storage, and network – are owned by AVI-SPL and shared amongst multiple clients. The As-a-Service Cloud option is an OPEX model allowing you to buy VMR access on a subscription basis.
  • Hosted Private Cloud Model: A private single-tenant environment where the hardware, storage, and network are dedicated to a single client or company. You purchase and own the hardware; InSight Systems stores the hardware in an InSight Systems data center.
  • On-Premises Model: Private deployment where you own the hardware, storage, and network; you handle the storage independently. InSight Systems Professional Services will install and activate the hardware on site.
  • Hybrid Model: A hybrid software deployment spans the gap between on-premises and cloud. Allows you to add cloud computing resources to your environment without abandoning existing hardware investments. Use both your data center and a cloud service simultaneously while delivering a seamless user experience.

As Your Usage Grows, So Does VMR

You plan on growing your business. That’s why you can increase your VMR capacity at any time. Add additional users to your plan or select a subscription option with automatic overage so meetings take place on time. InSight Systems also provides higher levels of service, including HD quality, and remote monitoring and management.

The Value of VMR

  • Single solution for video-web-audio collaboration
  • Connect any standards-based and software-based clients and devices into one call
  • Interoperable with H.323, SIP, WebRTC, and Skype for Business
